Unit Context:

The ITSIG (Information Governance) Unit is the strategic driver of trust, agility, and responsible innovation in the organization’s data, information, and AI landscape. The unit develops and oversees governance frameworks, policies, and stewardship models that enable the Group, and the public, to maximize the value of its data and information. By embedding governance into product and service delivery, platform design, and business engagement, the unit positions governance as a catalyst for AI transformation and business impact. The unit also fosters partnerships and thought leadership, ensuring the Group remains at the forefront of global best practices in data, information, and AI governance.

Duties and Accountabilities:

Role Purpose:

The Junior Information Management Analyst is responsible for supporting the lifecycle management of the WBG’s information assets to ensure critical information is accessible to employees. Under close supervision, this role captures, organizes, preserves, digitizes, disposes of, and shares access to various information assets. The Junior Information Management Analyst also analyzes policies related to information ownership, stewardship, and access, promoting transparent and accountable operations.

Key Responsibilities:

1. Information Lifecycle Management

• Support the governance and lifecycle management of M365 solutions.
• Track the application of records retention schedules and regulatory requirements to ensure compliance.
• Assist with appraisal, retention, and disposition activities, including reviews of expired Microsoft 365 workspaces and digital records.
• Support the governance of records repositories in Jakarta office, including off-site storage records disposition following the WBG retention schedule.

2. Information Governance

• Help site owners and business units apply information management guidance and address routine repository issues, escalating complex matters to senior colleagues.
• Maintain and update documentation for information and records management policies and procedures.
• Collaborate with cross-functional teams to implement information management guidelines.
• Support the maintenance of the unit’s intranet site.

3. Information Quality

• Review integrity, accuracy and completeness of information in document and records management repositories.
• Monitor data quality and implement corrective actions as necessary.

4. Internal User Support and Training

• Assist with training and supporting staff on information management tools and best practices.
• Support the development and implementation of knowledge sharing processes and tools for internal use.

Selection Criteria

Attention: Preference will be given to local talent, that is, applicants that are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines

• Understanding and practical experience with standards and good practices for information governance, information lifecycle management, records management, records appraisal, and records disposition.
• Knowledge and understanding of information, document and records management software systems.
• Ability to communicate information graphically in an appealing way for reporting and other communication needs.
• Ability to develop out-of-box solutions and customizations on Microsoft Office 365 platform and experience with Microsoft Power Automate would be an asset.
• Good oral and written communication skills in English; ability to write concise and accurate reports, and good public outreach skills.
• Awareness of AI governance principles and Agile/SaFe methodologies.
• Curiosity in the WBG’s work and familiarity with its mission and objectives.
• Ability to conduct independent research and functional analysis and to make judgments on the archival value of the variety of documents and business records of the organization.
• Hands-on and results-oriented approach.
• Conceptual, analytic and innovative problem-solving ability.

Education and Experience:

• BA/BS in Information Management, Archives, Records Management, Information Science, or related field
